Protecting Company Credit Cards: Best Practices and What To Do If Your Card is Lost or Compromised

At B Lab, the security of our company credit cards — both physical and virtual — is a top priority. Whether you’re using your card for travel, office supplies, or client expenses, it’s important to follow some best practices to help keep your card safe and minimize any risk of fraud.

Tips to Keep Your Company Credit Card Safe

Physical Cards:

  • Keep your card in a secure location (like a wallet or cardholder) at all times.

  • Never leave your card unattended in public spaces, hotel rooms, or shared offices.

  • Only provide your card number to trusted merchants.

  • Avoid letting others handle or photograph your card.

Virtual Cards:

  • Use your virtual card only on secure, encrypted websites (look for "https" and the lock symbol in the browser).

  • Never share your virtual card number via email, messaging apps, or unsecured platforms.

  • Monitor your Expensify account regularly to spot any unusual activity.

General Safety Tips:

  • Always log out of public or shared devices after accessing financial accounts.

  • Set up alerts in Expensify to get real-time notifications for card transactions.

  • Be cautious when using public Wi-Fi — use a VPN if possible when accessing sensitive information.

  • Regularly review your card transactions and reports in Expensify to spot unauthorized charges early.


What To Do If Your Card Is Stolen or You Suspect It’s Compromised

If you believe your company credit card has been lost, stolen, or compromised, please act immediately by following these steps:

1. Deactivate Your Card Immediately

If your Expensify card was lost or stolen, you must deactivate your card right away! Here’s how to do it:

  • Tap your profile image in the bottom menu of the Expensify app.

  • Tap Wallet.

  • Select your Expensify Card.

  • Click Report physical card loss or damage.

  • Follow the prompts to deactivate the card and request a new one.

2. Submit a Ticket to Expensify Support

Immediately open a support ticket within Expensify to officially report the card as compromised. They will help you with further account protection and tracking.

3. Submit a Ticket to B Lab

Please also open a ticket with the B Lab Finance team to document the issue internally. Include:

  • A brief description of what happened.

  • Approximate time/date you noticed the card was missing or compromised.

  • Confirmation that you submitted a ticket to Expensify.

4. File a Police Report

You must file a police report if your card was stolen or misused.
After filing, update your B Lab support ticket with:

  • A copy of the police report.

  • Any case numbers or officer contact information provided to you.


A Few Reminders

  • Speed is critical: The faster you report, the faster we can help prevent further misuse.

  • Documentation is important: All supporting documents (police report, Expensify correspondence) must be uploaded to your B Lab ticket.

  • Keep monitoring: Even after resolving the incident, keep an eye on your replacement card for any unusual activity.
